Sending Form 2553 is one event in a longer process. The useful next step is a handoff: everyone who handles your books, payroll and returns needs the same information. Create a record of what was requested, what was sent and what the IRS confirms.
Proof of submission and IRS acceptance are different records. Keep both, and resolve discrepancies with your tax professional.
Save the exact filing packet
Keep your documents and set reminders around your state’s requirements.
Keep a copy of the completed form, attachments and submission evidence. Record the requested effective date and who handled the filing. The IRS instructions explain how acceptance or nonacceptance is communicated and how to follow up if no notification arrives.
Use clear filenames such as “2553-submitted” and “IRS-response.” Do not rename a draft “approved” because it was sent. If more than one person helped, agree which folder is the official record.
Review the response before assuming the result
When a notice arrives, compare the business name, identifying details and effective date with your packet. If something differs, give the notice to the professional who prepared the election. Use official IRS contact instructions; do not send another election simply because a third party suggests starting over.
Hypothetical example: a bookkeeper receives a copy of a submitted form while the owner receives the IRS response later. Without a shared folder, the preparer may work from the older document. One short handoff prevents that information gap.
Build one responsibility list
Ask your tax adviser which federal and state filings apply, and who will prepare them. Form 1120-S is the federal S corporation income tax return; the election form does not replace an annual return. Coordinate any payroll setup and owner-pay review with the effective date.
Your list can be simple: task, responsible person, first due date confirmed by that person, and where completion evidence will be saved. Include a reminder to review the list when ownership, location or staffing changes.
